Follow-up is a service
Good follow-up helps the decision-maker complete the process. Each message should refer to the previous conversation, provide the promised item, answer an open question or confirm the next decision point. Generic 'just checking in' messages create little value. Use a clear subject, one purpose and an easy response path.
Pipeline truth
Use stages with objective entry criteria: target, attempted, connected, qualified, inspection, proposal, due diligence, approved, rejected or nurture. An opportunity does not advance because you feel optimistic. Every active opportunity needs an owner, next action and date. If no next action exists, move it to nurture or closed rather than allowing the pipeline to become a wish list.
Weekly review
Review conversion, ageing, lead sources, objections, commitments due and capacity. Select the few actions most likely to move qualified opportunities, then protect prospecting time so the top of the funnel does not disappear. Use losses as learning data. Record the real reason where known, but do not invent a reason when the stakeholder has not provided one.
