Property-level bookkeeping
Use a separate ledger or tracking dimension for each property. Record gross booking amounts, fees, discounts, cancellations, cleaning, taxes or levies, rent, utilities, suppliers, reserves and owner flows. Do not use bank deposits as revenue without reconciliation; platforms may net fees, refunds and adjustments.
Tax questions require advice
Entity, GST, income tax, deductions, employee or contractor treatment and property arrangements depend on facts. Give the accountant the executed agreements, booking flows, invoices, asset register and operating description. Keep tax invoices and substantiation, and do not label personal expenditure as business merely because it occurred near a property.
Financial control rhythm
Reconcile channels, bank and ledger monthly; review aged receivables and payables; compare actuals to budget; update cash reserve and forecast; investigate unusual movements. Use access controls and payment approval limits. The person entering a supplier should not be able to create and approve an unreviewed payment where practical.
